Minutes VHOA Board Meeting March

Order of Business:
- Architectural Review Committee - Joe
o Laura Bradley,
o Ken Favreau was approved to join the ARC by a
vote of 4 to 0, cl1fyreman@aol.com.
o Arnie will be attending the next meeting of
the ARC on April 5th to help the new members adjust.
o ARC tasked with documenting homeowners with
fences facing streets and drafting letters for board approval.

Speeding/Speed Bumps on Blooming Meadow Road Jim
o Request new survey with concealed radar; Jim
drafted letter to be signed by Jerry and courtesy copy the town council/mayor.
Sending letter to Jerry for action.
o Newsletter article is being forwarded to Joe
for correction/addition.

Carolina Property Associates issues Jim
o Reviewed Arnies new spreadsheet for further
action on accounts past due and made decisions on homeowners on a case by case
basis.
o See about having Jeff or Tammy come out to
one of our meetings to discuss the possibility of expanding their duties for
the VHOA/costs. Arnie taking for action.
o Verify termite bond for pool house Jim
checking w/CPA.
o Insurance coverage is in order and current
documents have been obtained from CPA.

VHOA Website Joe
o Beach Site Design was approved by a vote of 4
to 0. Joe will contact them to get the site up and running ASAP.
o Transferring domain names from Darrin Brannon
to Beach Site Designs and administrative support to the Board.
o We will need to reimburse him for
registrations and transfer fees. Pending receipts from Darrin.

Third party software for newsletter Joe
o Refund Jim taking to CPA for check cutting
for Joe.
o Awaiting articles for Newsletter by
o Release first newsletter by April 1st
after review by Board members via e-mail.
o CPA will charge us $100.00 plus postage to
distribute the newsletter.

Home Depot receipts Dori
o Refund given by in-store debt card - $159.27.
Future use of debt card to be considered at a later time.
o Jim will give receipts to Jerry sometime
during the week

Dog issues continue - Joe
o Putting information regarding this issue in
first newsletter.
o Publish Wake County Animal Control guidelines
on website and directions to document in newsletter.

Welcoming/Social committee Arnie
o Reviewed proposal by Arnie for social committee.
Proposal will be brought before community on April 20th.
o Having VHOA welcoming committee get with the
welcome wagon to have them take over for our committee.
o Arnie will continue to review new homeowners
via the web

Sandwich boards Arnie
o Review of purchase and approved purchase of
three more plastic coverings. Signs will be used to advertise the April 20th
meeting.

o Statement of work being produced by Jerry.

o No response from Jeff Wilkie.
o Continue to contact him to get them removed
for free.
- Community meetings Joe
o Scheduled and approved for April 20th at
o Reviewed meeting notice for approval. Joe
will provide to CPA to distribute with dues statements.

- Review legal statement of work - Arnie
o Arnie to rewrite statement of work prior to
next meeting. SOW will specify that we need to have our legal documents written
anew requesting a quote.
- Address finding/making a decision on a lawyer

o Come up with presentation for the quarterly
meeting in reference to hiring a new lawyer.

Blooming
o Drafting letter to homeowner in reference to
their grass, after getting previous agreements homeowner had with Jerry.

Obtaining VHOA Board paperwork from former secretary Dori
o Still need to finalize E-mail issues with
Adam Davis.
