Valleyfield HOA (VHOA) Board Meeting – February 09, 2005

Order of business:

 

Speeding on Blooming Meadow Road – Jim

-       Nothing new to report. Still waiting on the official report from the town of Holly Springs.

 

Obtaining VHOA Board paperwork from former secretary – Dori

-       Dori has obtained the filing cabinet from Adam Davis. Dori will attempt to secure the electronic documents from him this week.

 

VHOA Website – Joe

-       http://www.valleyfieldhoa.com/ remains down. Attempts have been made to contact Jeff Wilkie. Further attempts were made to contact Darrin Brandon to find out the status and current website. Joe has for action in addition to finding a suitable replacement for our web hosting needs.

 

Architectural Review Committee members – Arnie

-        Dawn Rager was elected chairperson of the board on 02/01/05.

-        Current members: Linda Miller, Randy Barbee, Tim Pallachioli, Sheila Norrington, and Dawn Rager

-       Letters delivered to accepted and denied volunteers.

-       Pass down given by Arnie and Joe.

-       ARC tasked with documenting homeowners with fence facing streets and drafting letters for board approval.

 

Carolina Property Associates issues – Jim

-       CPA will distribute C & Rs/Bylaws/Design Guidelines for a fee. To be discussed more in the future.

-       CPA will continue to send board monthly community statements with added information. We would like CPA to add three columns to the spread sheet containing the customer balance summary. A column each for the warning being sent, certified letter being sent, and a lien being applied. Provide the date of each next to each homeowner.

-       New home owners will be identified by VHOA board members on a monthly basis and CPA will be advised by board.

 

Welcoming committee – Arnie

-       Arnie will continue for action the development of Welcoming committee.

 

Finding a lawyer – Dori

-       First lawyer contacted proposed $190/hour fee.

-       Review C & Rs and other VHOA documents; half hour each.

-       Review current liens on homeowners; one hour each.

-       Seeking additional quotes and more discussion.

-       H.S. Department of Planning and Zoning – Beth Trouts; awaiting guidance from this office

 

Liens and Fines – Jim

-       Putting liens of homeowners:

o       Two (2) quarters of no payments

o       Certified letter sent by CPA after 30 days over due.

o       Lien placed 30 days after certified letter.

o       Example:

§         January 1 Quarterly statement - $82.50

§         April 1 Quarterly statement - $165.00 & warning

§         July 1 Quarterly statement - $242.50 & warning and certified letter sent with $60.00 fee included

§         August 1 Lien place on home.

o       Current homeowners in arrears

§         Balance greater than $300; apply lien provided certified letter has been sent (whether accepted or not).

§         Balance less than $300 and more than $165; have CPA draft certified letter for homeowners with fee.

§         Balance less that $165; place warning on next quarterly statement.

Budget meeting – Jim

-       HOA Budget Approval meeting scheduled for Feb. 17, 2005 at 7:00. Hunt Community Center space secured by Jim.

 

Sandwich boards – Arnie

- Continues to investigate.

 

Third party software for newsletter – Joe

- Continues to investigate.
