Minutes - VHOA Board of Directors Meeting - January 31, 2007

 

 

Attending:  Arnie Shelton, Joe Krager, Dori Barnard, Theresa Lewis, Sue Ellen Tees, Amy Blosser, Susan Kirk, Sharon Willis (Carolina Property Associates)

 

Location/time:  The home of Sue Ellen Tees at 7:00pm.

 

Order of Business:  2006 Board overview of board responsibilities to be carried out by 2007 board

 

Administrative Issues and Contracts:

 

1.      Pool Contract 2 years (30day out clause) includes pig/ice cream (1 pig owed from    2006).  Pool repairs are also being done by Carlos (1 yr warranty)

2.      Landscaping with mulching-Parrish Services (1 yr contract) includes replacing light bulbs. 

3.      Carolina Properties and Associates (contract expiration 5/31/08) 60 day notice to cancel.  Sharon Willis is contact with CPA the board voted to elect Sue Ellen Tees as liaison between CPA and VHOA board.

4.      Pest Control done by Buck’s Pest (no contract) used as needed.  Board recommended fire ant treatment to be initiated closer to pool season.

5.      Pool key card system explained and given to Dori.  Installation disk has been misplaced.  Arnie to locate disk or replace prior to pool season.  Arnie advised 4 boxes of keys were needed last pool season.  No additional keys would need to be purchased for 2007 season.

6.       Pool season May 12-Sept 17, 2007

7.       Social committee consists of Michelle Wilkie, Allie Wright, Sharon Walters.  The board will meet with the committee prior to May 12, 2007.

8.      Architectural Review Committee consists of Aaron Wenzel and Tim Pollachioli.  Website mentions Ken Favreau (he no longer resides in Valleyfield).  The board also plans to meet with this committee prior to May 12, 2007.

 

 

Sharon Willis advised landscapers have questions regarding trees at pool gate.  It was decided to remove dead trees and replace with healthy trees from opposite side of gate leaving additional spacing for trees growth.  Request Parrish Services evaluate Magnolia trees. 

 

Use of red mulch will be continued for common areas in the neighborhood.

 

 

 

 

 

 

 

 

 

 

 

Board appoints Sue Ellen as contact to send email to Sharon Willis with our requests.  She will include the following:

 

  1. Hardy copy of all contracts (CPA, Pool, Landscaping)
  2. Copies of any new correspondence to homeowners. 
  3. Contact information for new homeowners (within last 6 mos.)
  4. Contract information for all other homeowners
  5. Copies of all form letters for Valleyfield.

 

 

Dori purchased mailbox for pool information and requests.  To be kept in the pool area.

 

Board voted not to send notices at this time regarding remaining Christmas decorations on homes.  However we will revisit at our next meeting. 

  

New builder will comply with Holly Springs rules and Valleyfield covenants.  Sharon Willis will keep the board informed.

 

Susan is working on our first issue of the newsletter.  To have completed and mailed by end of February.
